Your Role and Responsibilities

You are part of the People & Culture Team and ensure that day-to-day operations run smoothly. As the first point of contact for colleagues, guests, and external partners or clients, you create a welcoming and professional atmosphere. With a strong sense of organization and an open ear for others, you help make our office a place where people enjoy working, connecting, and feeling comfortable.

Your Role and Responsibilities

  • Office & Front Desk Management
    Welcoming and assisting guests, managing the telephone switchboard, central email inbox, and handling mail, deliveries, and courier services
  • Meeting, Appointment & Calendar Coordination
    Organizing and coordinating meetings, appointments, and conference rooms, including preparation and follow-up, maintaining the company calendar and coordinating with internal and external stakeholders
  • Office Organization & Infrastructure
    Ensuring a structured and efficient daily office routine, organizing office supplies and amenities (e.g. materials, beverages, snacks, equipment, and cleaning supplies)
  • Procurement & Vendor Coordination
    Managing internal ordering processes, coordinating external service providers (e.g. cleaning services, craftsmen, service partners)
  • Travel & Event Management
    Organizing and booking business travel, including maintaining the travel management tool, supporting the planning and execution of internal and external events
  • Contract & Space Administration
    Supporting the administration of service contracts, assisting with the administrative handling of subleases for office space
  • Administrative Support
    Performing general administrative tasks, including revising presentations and documents

Your Profile

  • Experience in office management, administrative support, or a comparable organizational role
  • Strong service-oriented and hands-on mindset
  • Structured, reliable, and self-driven way of working
  • Excellent organizational skills, strong communication abilities, and a good sense of prioritization
  • Confident user of common office tools and digital applications
  • Enjoys taking responsibility and proactively driving tasks and processes forward
